Policies & Procedures

Reservation Policies

  • Must be 21 years of age or older to book a reservation

  • 2-night minimum stay

  • $50 cleaning fee per booking

  • Pet-friendly: Non-refundable $35 pet fee per pet due at time of booking (See “Pet Policies” below)

  • Additional fully refundable $100 damage deposit due at time of booking. Returned via original payment method (unless cash, then check will be mailed to address on file) within 14 days after satisfactory checkout.

  • 25% of total payment due at time of booking

  • Remaining balance due on or before 7th day prior to arrival

  • Failure to make final payment by 11:59 pm CST on 7th day prior to arrival is grounds for immediate cancellation of reservation and forfeiture of deposit

Check-in/out Procedures

  • Check-in: After 4:00 pm

  • We reserve the right to refuse access to the cabin prior to standard check-in time. Unauthorized late check-outs are automatically subject to an additional fee. While we understand the occasional need for early check-in/late check-out, we are most often not able to accommodate these requests due to the time needed to prepare cabins between visitors, especially during peak-season. Should you have such a request, please contact us prior to your arrival date to inquire. Should your request be approved, there may be an additional fee for the accommodation.

  • Check-out: 11:00 am

  • Please be sure to replace key in lockbox upon leaving.

  • See “Cabin Rules” below for full check-out instructions as well as checklist in cabin.

  • Self check-in with keypad at cabin front door: Once final payment is made, you will receive a key access code. 

  • Cleaning and inspection of cabins is completed before each check-in and after each check-out. Upon arrival, please inspect your cabin and report any damages, shortage of supplies, or housekeeping issues to be addressed immediately.

  • One reserved parking spot per cabin. Please do not park on grass. Overflow parking is at the top of the hill in a graveled area. Feel free to unload at cabin, then remove extra cars.

  • From the moment you book your stay with us to the moment you step foot at your cabin rentals door, we want you to begin your experience with zero worries. In order to do so, please review our list of policies and procedures that enable guests to obtain the maximum enjoyment from use as well as secure the investment of the cabin owners’ property. We kindly remind you to please be courteous to all other Cedar River Ranch guests and staff at all times. 


Cedar River Ranch Cabin Rules

  • Bring your own firewood. Please do not bring in firewood from out of state, as firewood brought in from other areas may contain non-native insect species that pose a serious threat to our native trees and forests.  We will have firewood for sale at the store at the office.

  • Parking – there is one reserved parking spot per cabin. Please do not park on the grass. Overflow parking is available at the top of the hill in a graveled area. 

  • We recommend removing shoes before entering the cabin.

  • All properties are designated as non-smoking and non-vaping. Smoking of any type is not permitted inside the rental property at any time. Violation of this policy constitutes grounds for immediate termination of the rental agreement and the guest will be liable for any cost of removing smoking odors and thoroughly cleaning the rental.  

  • Smoking outside on your cabin lot is permitted. However, we ask that you please be courteous of neighboring guests. Cigarette butts and used snuff products must be disposed of properly and not thrown on property grounds. Failure to do so will result in a deduction from the security deposit. 

  • No smoking in shared public/common areas.

  • Any time Guests leave the cabin rental, it is their responsibility to ensure all windows and doors are closed/locked to maintain security and prevent rain and water damage to both property and personal belongings. Cedar River Ranch assumes no responsibility to ensure the residence is locked and secured during the period of occupation by Guests.

  • Please switch off lights and electronics, such as televisions, when not in use to promote energy saving. You may leave A/C unit on when stepping out of cabin, we just ask that you set at higher temperature when not in use. Outdoor security light can remain on if returning to cabin after dark. 

  • Overnight occupancy is strictly limited to the number provided at time of reservation. Additional guests or day visitors will need prior authorization and approval.

  • Community Quiet Hours are 10:00 pm – 8:00 am: Please return to your cabin at that time and be sure to keep noise level to a minimum if spending time outside of your cabin. Please be courteous at all times of music and loud noises that will disturb other guests. Any day visitors must vacate the premises before 10:00 pm. 

  • Parties and large gatherings of any kind are strictly prohibited. Any small gathering (must obtain prior approval) must comply with other rules set regarding parking, noise, neighboring guests, and visitor numbers. Guests and visitors should follow state and national guidelines for gathering size, social distancing, and increased hygiene. 

  • If guests are found to be having a loud party or engaging in any disruptive activity in any of our properties, all will be asked to vacate the property immediately. No refund will be issued and any deposit will be forfeited.

  • Per Iowa legislation, Cedar River Ranch has the right to refuse service to any individual who is visibly publicly intoxicated or under the influence of alcohol or some other illegal drug, or who is disorderly so, as to create a public nuisance. https://www.legis.iowa.gov/docs/code/137C.25.pdf

  • Please treat the cabin and furnishings as if they are your own. We do understand that accidents can happen. We kindly ask that you let us know as soon as possible of any accidental breakages or damage.

  • As we continue to expand and improve Cedar River Ranch, please be aware that areas of the property may be under construction and could appear differently than in promotional photography as we make these updates. For the safety of our guests and staff, please also use caution and do not enter areas under construction. Thank you for your patience.


Full Check-out Procedures

  • Wash and dry any dishes used and replace in cabinets/drawers.

  • Pile all used towels and linens on floor near bathroom.

  • Please put the quilt on the bed, please do not remove mattress protectors or pillow protectors.

  • Turn off all lights, air conditioning, fans, and electronics. Please do not disconnect any cables or unplug TV or other appliances, as this may interfere with working abilities.

  • Be sure all device remotes are returned to where they were upon arrival.

  • Place all furniture/furnishings back in the arrangement in which they were upon arrival.

  • Be sure all trash is collected, tie up & place garbage bags in bin outside of cabin. If garbage in excess of what will fit in bin, please place next to bin for collection.

  • Close and lock all windows.

  • Lock cabin door and secure key in lockbox. Loss of keys will result in loss of partial or all of deposit to replace the lock.

  • Failure to comply with any Cedar River Ranch policies or rules may result in loss of security deposit and/or immediate expulsion from the property, without refund.

Cedar River Ranch Swimming Pool Rules

  • No Running Allowed

  • No Diving Allowed

  • No boisterous or rough play allowed

  • No dogs allowed in the swimming pool or swimming pool deck

  • Children are not allowed to use the pool without adult supervision

  • No person under the influence of drugs or alcohol are allowed to use the pool

  • No glass allowed in the pool or on the pool deck

  • All persons using the pool do so at their own risk, owners and management are not held responsible for accidents or injuries

  • Management reserves the right to deny use of the pool to anyone at anytime

  • No person with skin, eye, ear or nasal infection are allowed to use the pool

  • No person with communicable disease allowed in the pool

  • Children under the age of 3 or not potty trained have to be in little swimmers to use the pool

  • A First Aide kit is located on the building

  • An Emergency Phone is located on the building


Cedar River Ranch Pet Policies

  • While we are happy to accommodate guests with dogs, we do ask that you please respect the safety and comfort of other guests, both during and after your stay. Please adhere to the following policies during your stay:

  • Well-behaved and trained dogs are permitted only with payment of non-refundable $35 per pet/per stay pet fee at time of booking. This fee does not cover any damages to cabin or excess clean up. In addition:

  • Dogs must be up-to-date on all required vaccinations/medications/immunizations.

  • “Vicious or Dangerous Dogs” trained for dog fighting or with any tendency or disposition to attack any other dogs or humans without provocation are not permitted at any time.  

  • Any dog with a recorded history of biting is strictly prohibited.

  • Other than the specific cabin identified in reservation, no animals of any type (except necessary service animals) are permitted on the premises or inside of any other cabin at any time. This policy applies to all visitors you welcome during your stay.

  • Dogs are not allowed on furniture. 

  • Please do not wash/bathe your dog(s) inside cabin showers. Should you need to bathe your dog, please do so with water outside of cabin. 

  • Dogs should not be left unsupervised. We recommend crating your dog should you need to leave unsupervised inside of cabin for an extended length of time.

  • Dogs should remain under your control in all common/public areas of the property. Use of a leash is required! 

  • Please clean up after your dog, both in common areas and your rental property. Doggy bags will not be provided. Please bring your own and be sure to dispose of in trash receptacles.

  • Cedar River Ranch and its’ Owners are not responsible for guests’ dog(s). If your pet sheds excessively, leaves behind fleas, or causes damages to the property, you will be responsible for the cost of cleaning, spraying, repairs, or replacement.

  • No dogs allowed in the swimming pool area or in the swimming pool.

  • Failure to comply with these policies may result in loss of security deposit, additional fees for damages, and/or immediate expulsion from the property, without refund.

Liability Disclosure

  • Guest agrees that all personal property on the premises shall be at the risk of Guest. Cedar River Ranch and its’ Owners shall not be liable in any manner for loss, damage, or theft, including damage sustained by fire or water, howsoever caused, or by any other cause to Guest’s personal property.

  • Guest shall be responsible for the cost of repairing the premises and/or any property that is damaged during Guest’s occupancy of the premises, ordinary wear and tear excepted, and agrees to accept all related charges should damage occur during occupancy.

  • If personal items are found after departure, we will make every effort to contact the owner and make necessary arrangements to return them to the owner. Any cost associated with returning items will be at owner’s expense.

 

Safe Cleaning Practices

  • At Cedar River Ranch, we value our continuous efforts to provide the utmost safe and sanitary conditions throughout our rental properties. Here are some of the steps our team is taking to exceed cleanliness standards to help protect you, our team, and our other guests!

  • Contactless check-in and check-out with self-serve keypad

  • Provide personal hand sanitizer spray in all cabins and common areas for guest use

  • Sanitize every high-touch surface, down to the doorknob with electrostatic, no-touch sanitization sprayer

  • Use cleaners approved by health experts, like disinfectants with 70% alcohol or higher

  • Thorough cleaning process – we refer to our extensive checklists while cleaning room-by-room and in common areas

  • Wear a mask and gloves at all times during cleaning to help avoid cross-contamination

  • Wash all sheets and towels at a high heat setting recommended for sanitizing

  • Comply with all local laws, including any additional safety or cleaning guidelines

 

​Cancellation Policies

  • 100% refund (including deposit) if you cancel at least 14 days before check-in

  • 50% refund (less deposit) if you cancel at least 7 days before check-in

  • No refund if you cancel less than 7 days before check-in

  • Cancellations must be made by 11:59 pm CST on the applicable day (14th, 7th)
